Who we are
Lobby is operated by Vikba ApS, a company registered in Denmark. We build tools that help offices manage meeting rooms simply and transparently.
Our promise
We do not sell, share, rent, or monetise your data in any way. Your data is used solely to provide and improve the Lobby service you pay for. That’s it.
Google Workspace data
Lobby requests read-only access to your Google Calendar data via the calendar.readonly OAuth scope. Specifically, we access:
- Room resource calendar events (event title, time, organiser name) — to display real-time room availability on your TRMNL e-ink screens.
We do not access personal calendars, email, files, or any other Google Workspace data. We do not write, modify, or delete any calendar events — access is strictly read-only.
What else we collect
- Account information — name, email address, and company name when you sign up.
- Device information — display IDs and configuration needed to push updates to your TRMNL screens.
- Usage analytics — anonymous, aggregated usage patterns to help us improve the product. No personal browsing data is tracked.
How we use your data
All data — including Google Calendar data — is used exclusively to provide the Lobby service: showing live meeting room status on your displays. We do not use your data for any other purpose.
Who can see your data
Your data is accessible only to:
- You and your organisation — via your Lobby dashboard and TRMNL displays.
- Lobby engineering staff — only when necessary for support or debugging, under strict access controls.
We do not sell, share, rent, or disclose your data to any third party. Period.
How we protect your data
All data is transmitted over encrypted connections (TLS). Access to production systems is restricted and audited. We use trusted infrastructure providers within the EU and follow GDPR-compliant data handling practices.
Data retention
Calendar data is cached temporarily (typically minutes) to render display content and is not stored long-term. Account and device data is kept only as long as your account is active. If you cancel, we delete all your data within 30 days. You can request immediate deletion at any time by emailing data@usethelobby.com.
Your rights (GDPR)
As a Danish company, we comply fully with the EU General Data Protection Regulation. You have the right to:
- Access the personal data we hold about you.
- Request correction or deletion of your data.
- Export your data in a portable format.
- Withdraw consent at any time.
- Lodge a complaint with the Danish Data Protection Agency (Datatilsynet).
Cookies
We use only essential cookies required for authentication and session management. No tracking cookies, no third-party advertising cookies.
