What is Lobby?

Lobby is a meeting room display system for Google Workspace teams. It's an e-ink screen that mounts outside your meeting room door and shows real-time room availability pulled directly from your Google Calendar. No new booking system. No new app for your team. It just shows what's in the calendar.

What problem does Lobby solve?

The three most common meeting room problems: double-bookings (two teams showing up to the same room), ghost meetings (a room shows as booked in the calendar but nobody's in it), and uncertainty (people walking up to rooms not knowing if they're free). Lobby eliminates all three.

Does Lobby work with Microsoft 365 / Outlook?

Microsoft 365 / Outlook support is coming soon. Today, Lobby authenticates with Google Workspace only. If this is a blocker for you, email hello@usethelobby.com and we'll let you know the moment it ships.

Can I run Lobby on a tablet or TV instead of the e-ink display?

Yes — that's a virtual display. Same room view as the e-ink, runs in any browser, no hardware needed. Open the URL from your Lobby dashboard on any tablet, TV, or screen you already own. Virtual displays count toward your plan limit just like physical ones.

What's the room overview display?

A single screen that shows multiple meeting rooms at once — in a grid, with live green/red status. Pick which rooms to include in the dashboard. Works on physical e-ink hardware OR as a virtual display in a browser (great for lobby TVs, kitchen monitors, hallway screens). Counts as one display on your plan, not one per room it shows.

Can I mix physical and virtual displays?

Yes. They all show in the same Lobby dashboard and sync from the same Google Calendar. A room can have a physical e-ink display beside its door and also appear on a virtual overview screen in reception — that's exactly the point.

Question 7

Can my team book rooms from the Lobby display?

Accepted Answer

Not yet. Lobby displays are currently read-only — they show what's in your Google Calendar but don't support booking directly from the screen. Bookings continue to happen in Google Calendar (or any tool that writes to Google Calendar). On-screen booking is on our roadmap.

What does the display look like when a room is available vs occupied?

Available: Clear green “AVAILABLE” status with room name and time of next meeting. Occupied: Red “IN USE” status with the current meeting title, organiser, and end time. The status is large, clear, and readable from across a corridor.

How long does setup take?

The Google Calendar connection takes 2–3 minutes. Mounting and pairing each display takes about 5–7 minutes. For a 5-room office, budget 30–40 minutes total for everything.

Do I need to be a Google Workspace admin to set up Lobby?

You need admin access to authorise the calendar integration (a one-time step) and to add room resources in Google Admin if they don't already exist. After the initial setup, a non-admin can manage the Lobby dashboard.

What happens if my WiFi goes down?

Accepted Answer

The display continues showing the last synced schedule. E-ink screens retain their image with zero power when static. As soon as WiFi is restored, the display automatically resyncs. The display will never go blank just because of a connectivity blip.

Does the display need to be plugged in permanently?

Accepted Answer

No. The display is battery-powered and charges via USB-C — like your phone. Charge it once, and it runs for up to 12 months depending on how frequently it syncs and how often the calendar changes. There are no cables to route through the wall.

What WiFi does the display need?

The display connects to standard 2.4GHz WiFi (WPA2/WPA3). It does not require 5GHz, a corporate VLAN, or special network configuration.

What if my meeting rooms aren't set up as Google Workspace resources yet?

We have a step-by-step guide for setting up room resources in Google Admin. It takes about 5 minutes. Once your rooms exist as Google Workspace resources, Lobby can connect to them instantly.

Hardware is a one-time purchase (the physical display and wall mount). Software is billed monthly per display — cancel any time. The price is listed clearly on our pricing page.
